Executive Assistant

Position Overview

The Executive Assistant provides high-level administrative, operational, and project management support to the Chief Executive Officer. This role requires exceptional judgment, discretion, and organizational skills to effectively manage priorities, anticipate needs, and support executive leadership in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and comfortable handling sensitive information while serving as a trusted partner to the CEO.

Key Responsibilities

    ● Provide comprehensive administrative support to the CEO, including managing special projects and producing complex documents, reports, and executive-level presentations
    ● Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO, including highly confidential and time-sensitive issues
    ● Exercise sound judgment in prioritizing inquiries, determining appropriate actions, and responding in alignment with executive style and organizational policies
    ● Manage the CEO’s calendar by prioritizing requests, resolving scheduling conflicts, and making recommendations to optimize time management
    ● Ensure the CEO is well-informed of upcoming commitments and responsibilities, following up as needed
    ● Anticipate needs related to meetings, conferences, and travel; prepare materials and briefings in advance to ensure readiness
    ● Coordinate travel arrangements and process expense and mileage reports
    ● Track daily expenses and prepare weekly, monthly, or quarterly reports
    ● Take meeting minutes and track action items
    ● Act as a liaison between the CEO and executives, employees, clients, and external partners
    ● Provide strategic administrative and project management support across the organization
    ● Support marketing and practice development initiatives, including events, materials, and industry group activities
    ● Leverage internal networks and cross-functional teams to manage workflows efficiently
    ● Perform additional duties and special projects as assigned

Required Skills & Abilities

    ● Significant experience providing executive-level administrative support
    ● Strong ability to execute work through a diversity, equity, and inclusion lens
    ● Exceptional organizational and time management skills with strong attention to detail
    ● Excellent written and verbal communication skills
    ● High level of discretion and ability to manage confidential information
    ● Ability to adapt quickly and shift priorities on short notice
    ● Proven ability to work effectively both independently and within cross-functional teams
    ● Proficiency in Microsoft Office Suite and desktop publishing tools
    ● Comfortable working in a fast-paced, hands-on, and evolving environment

Education & Experience

    ● Bachelor’s degree required
    ● Minimum of 10 years of related experience, preferably supporting senior executives
    ● Experience in a professional services or similar environment preferred
    ● Intermediate Microsoft Office skills required; advanced proficiency preferred
    ● Strong judgment and prioritization skills to manage competing demands effectively
    ● Demonstrated ability to handle sensitive situations with professionalism and discretion
    ● Strong analytical and problem-solving skills with the ability to identify process improvements
    ● Valid driver’s license required
