Legal Assistant – Elder Abuse Litigation

Schedule: Full-Time | On-Site
Compensation: $26.00 – $34.00 per hour
Overview
A plaintiff-side law firm specializing in elder abuse and personal injury cases is seeking a Legal Assistant to support its growing elder abuse litigation practice. This role serves as a critical liaison between attorneys, clients, medical providers, and legal teams—ensuring smooth case progression from intake through settlement. Compassion, precision, and proactive communication are essential.
Key Responsibilities
Client Intake & Communication
● Initiate client outreach within 24 hours of case assignment
● Guide clients through the intake process with clarity and empathy
● Collect and update essential client information, including POA and death certificates
● Explain legal timelines, procedures, and expectations
● Prepare and manage initial documentation (e.g., attorney agreements, HIPAA forms)
Medical Records & Documentation Coordination
● Review intake files for completeness
● Request and track medical, legal, and law enforcement records promptly
● Ensure compliance with HIPAA and confidentiality regulations
● Coordinate notice placements with Medicare, Medicaid, and related agencies
● Organize key documents: incident reports, photos, videos, death certificates
Case Oversight & Litigation Support
● Maintain and update the Medical Records (MR) Tracker
● Assist with merit reviews and ensure all review materials are submitted on time
● Monitor litigation milestones: complaint filings, discovery, mediations
● Organize witness statements, supporting evidence, and declarations
● Assist in discovery tracking and deposition coordination
Settlement & Lien Management
● Support mediation preparation, including damages memos and lien summaries
● Manage CPLs, ICD code logs, and final demand resolution
● Communicate with lienholders and monitor post-settlement matters
Client Advocacy & Experience
● Conduct biweekly client check-ins and maintain case updates
● Address client concerns and escalate issues when necessary
● Help manage expectations regarding credit, lost wages, and legal timelines
Administrative Support & Case Management
● Maintain accurate records in the case management system (Litify preferred)
● Digitize and file all documents per firm protocol
● Regularly update the master case list and archive inactive matters
Qualifications
● 2+ years of experience in a legal, healthcare, or case management role (elder abuse or PI preferred)
● Strong organizational and multitasking skills with excellent attention to detail
● Effective communicator with a compassionate and professional demeanor
● Familiarity with legal and medical terminology; knowledge of HIPAA regulations
● Proficiency with Microsoft Office (Word, Excel, Outlook); experience with Litify is a plus
